COVID-19 Regulations for All Show Participants Access to the show floor is restricted to attendees, contractors, exhibitors, and IAAPA staff who are fully vaccinated with a World Health Organization-approved vaccine* or have a negative COVID-19 PCR test less than 72 hours old. Please have your test/vaccination certificate with you. Test facilities are available on-site for anyone without a valid certificate/test. The test costs are not covered by IAAPA. *A person is considered fully vaccinated two weeks after the second dose of a two-dose vaccine or four weeks after one dose of a single-dose vaccine. Health and Liability All participants must follow the guidelines from the local health authorities (PROCICAT) on safety for large-scale events. Use of face masks (FFP2 or surgical), regular hand disinfection, and 1.5-meter distancing are some of the local requirements. See “COVID-19 Regulations for All Show Participants” section above. By attending IAAPA Expo Europe 2021, the participant agrees he or she is aware the event is occurring in a public location during the COVID-19 pandemic and that his or her attendance at IAAPA Expo Europe 2021 therefore could be hazardous. The participant acknowledges that even diligent efforts to follow public health guidance and orders cannot guarantee attendees will not contract the virus that causes COVID-19, and that they could be infected, seriously injured, or even die due to COVID-19 or activities by the participant or others on or at the event. By attending IAAPA Expo Europe 2021, the participant agrees that IAAPA shall not be liable for any claims, losses, damages, death, injuries, communicable disease, illness, or other liability that may be sustained by any person who may be on the premises for the event, including but not limited to any registrant, attendee, or agent, employee, representative or guest thereof, or any other person or entity. The participant assumes any and all risks, and knowingly and willingly waives any and all rights, claims, suits, damages, costs, or other compensation or adjustment from IAAPA or its officers or agents. IAAPA Theatre The events presented in the theatre include the Opening Keynote, Leadership Breakfast, Lunch and Learn, CEO Talk, and Leadership Lunch and Learn for Young Professionals. Expo registration badges are required for admission to all events in the IAAPA Theatre. An additional event ticket is required for all events except for the Opening Keynote, which is included in Expo registration, and CEO Talk, which is part of the Conference Programme. Intellectual Property Issues (Hall 1, Booth 1-2005) Exhibitors with intellectual property (IP) concerns or questions can contact an IAAPA IP representative in the IP Office located in Booth 1-2005 in Hall 1. Lost and Found To deliver found items or reclaim lost items, visit the venue’s security services at Registration. Any items not collected by 18:00 on Thursday, 30 September, will be disposed of. IAAPA does not hold any responsibility for lost and found items in its possession.15 2021 CONFERENCE AND TRADE SHOW PROGRAMME Photography and Videography No photography or video of any kind is allowed on the trade show floor without the prior approval of the exhibitors. Press Office On-site assistance for journalists is available at the IAAPA Press Office located in the Press Area, South Access, Level-1. The press office is open Tuesday, 28 September and Wednesday, 29 September from 10:00 to 18:00 and Thursday, 30 September from 10:00 to 16:00. Press Registration All press entering the show floor must have a PRESS name badge. A member of the IAAPA Press Office staff must escort press with TV cameras on the exhibit floor. Press should pick up their badges at Registration, located on Fira Gran Via, South Access. Registration hours listed on page 8. Press Releases and Press Information Exhibitors can bring copies of their press releases and new product announcement materials to the Press Office located in the Press Area, South Access, Level-1. Journalists may pick up copies of those materials and press releases on IAAPA Expo Europe 2021 in the Press Office. Restaurants and Concessions There are several concession options within Hall 1 and 2 at Fira Barcelona, Gran Via, and a restaurant located in the Registration area (South Access). Safety and Security Please always secure your belongings and never leave bags, mobile devices, laptops, show badges, or other valuables unattended, even for a moment. Venue security can be contacted at Registration. The nearest police station is located at Plaça del Repartidor, 8, 08901 L’Hospitalet de Llobregat, Barcelona, Spain, and can be reached by phone at +34932602700. Show Policies Registration/Badge Policy All individuals (including children) must always wear a name badge to access the exhibit floor. • Name badges are not transferable and must always be worn while on the exhibit floor. • Entry to ticketed events requires both a name badge and a ticket for that event. • Lost, stolen, or misplaced name badges can be replaced for 50€. • The reproduction or copying of name badges is not permitted.16 GENERAL EVENT INFORMATION IAAPA.org/IAAPAExpoEurope @IAAPAEMEA | #IAAPAExpos Outboarding Policy Outboarding is defined as marketing, sales, and hospitality events conducted by exhibitors and others capitalizing on the presence of buyers and/or sellers attending the original show without previously notifying the original show organizer and finagling an arrangement that benefits both parties. This practice is considered unethical and is condemned by IAAPA. It includes practices such as “coat-tailing,” “piggy-backing,” co-location of events, and large-scale hospitality events, particularly during show hours. Suitcasing Policy Please note that while meeting attendees are invited to the exhibition, any attendees who are observed to be soliciting business in the aisles or other public spaces or in another company’s booth will be asked to return their badges and leave the show floor immediately. Violators will not be allowed to return to the show, and no refunds will be made. Additional penalties may apply. IAAPA asks that both attendees and exhibitors report any violations they may observe to the Show Management immediately. Show Management is available at Registration or the Show/Operations Office. IAAPA Expos and Event Participant Guidelines for Appropriate Conduct IAAPA Expos and events provide an ideal opportunity to exchange information, participate in education sessions, network, and buy and sell new products and services. IAAPA is committed to providing a friendly, safe, and welcoming environment for all, regardless of gender, sexual orientation, disability, race, ethnicity, religion, or national origin. We expect all attendees, journalists, speakers, staff, volunteers, organizers, venue staff, vendors, and exhibitors to help us ensure a safe and positive experience for everyone. The guidelines for appropriate behavior and conduct at all IAAPA Expos and events are listed below. Also included are the expectations for participant behavior, as well as the consequences for unacceptable behavior. Facets of Ethical and Appropriate Conduct: • Be considerate, respectful, and collaborative. • Refrain from demeaning, discriminatory, or harassing behavior or speech. • Be mindful of your surroundings at all times. • Alert event venue security or a member of the IAAPA team if you notice a dangerous or harassing situation or someone in distress. Unacceptable Conduct: • Unacceptable behaviors include: intimidating, threatening, harassing, physically or verbally abusive, discriminatory, derogatory, or demeaning conduct by any participant at the event or at any related event activities. All who participate in the event deserve respectful treatment, regardless of the capacity in which they are attending. • IAAPA defines harassment to include: offensive verbal comments or clothing related to gender, sexual orientation, race, religion, national origin, gender identity, or disability; use of nudity and/or sexual images in public spaces (including presentation slides); deliberate intimidation, stalking, or unwelcome following; harassing photography or recording; sustained disruption of talks and/or other events; unwelcome physical contact or sexual attention.17 2021 CONFERENCE AND TRADE SHOW PROGRAMME GENERAL EVENT INFORMATION •Attendees often combine professional activities with social interaction with other attendees, and while IAAPA encourages such networking and strengthening of connections between participants, IAAPA reserves the right to remove anyone whose social attentions become unwelcome to another, particularly if the behavior continues after their unwelcome nature has been communicated to the offending individual. IAAPA also reserves the right to remove any participant who appears inebriated or engages in conduct that interferes with the ability of others to participate in and enjoy the event. Weapons of any kind are prohibited at IAAPA events. What to Do if You Witness or Experience Conduct that Violate the Guidelines: •Conduct in violation of these guidelines should be brought promptly to the attention of event security or any IAAPA team member. Consequences of Unacceptable Behavior: •Unacceptable behavior will not be tolerated at the events, whether by attendees, journalists, speakers, volunteers, organizers, venue staff, sponsors, or exhibitors. •Anyone asked to stop unacceptable behavior is expected to comply immediately. •IAAPA expects all attendees and exhibitors to abide by guidelines at all event venues and event-related social activities as a condition of attendance. IAAPA, in its discretion, may bar those who violate these guidelines from continued attendance or participation in some or all of the event, without refund of any fees paid, and may, in appropriate circumstances, bar violators of these policies from attendance or participation at future events. •Failure to adhere to the show policies can result in confiscation of name badge and removal from the event. Shuttle Service Hotel Arts Barcelona Shuttle services will be available to and from the Headquarters Hotel (Hotel Arts Barcelona), to the IAAPA Bus Stop, located Carrer de les Ciènces, in front of Fira Barcelona Gran Via South Access. Pickup/drop-off will take place in front of the Hotel Arts Barcelona entrance.
